The Embassy of the Republic of Lithuania in Japan is seeking to recruit an experienced secretary (the coefficient for the official salary is from 5.89).

Selection Criteria:

  • Higher education
  • Language skills: Japanese native speaker, English C1
  • Knowledge of Lithuanian language and culture would be a plus
  • Microsoft Office skills
  • Experience in managing appointments, timetable scheduling of the ambassador and other diplomats if needed, personal work organisation, working with contact information databases
  • Understanding Japanese culture and guest greeting traditions, work protocol
  • Experience in working in an international, English speaking environment

Duties:

  • Helping with daily issues
  • Replying to phone calls, e-mails other inquiries, keeping a record of received calls
  • Providing basic information over the phone, e-mail
  • Contacting embassies, foreign establishments
  • Document copying, organizing, sending by post
  • Preparing official embassy documents
  • Keeping track of public information concerning Lithuania, sharing information over SNS platforms, newspapers
  • Sharing Lithuanian government establishment information, as appropriate
  • Updating information on the internet page of the embassy
  • Translating letters, e-mails, etc.
  • Updating embassy contact list
  • Helping out with organizing diplomatic post, cargo procedures
  • Helping out with organizing embassy events, visits, meetings
  • Receiving/seeing out embassy guests
  • Mediating between the embassy and foreign establishments on consular matters
  • Ordering/purchasing required stationary, cleaning, other required goods
  • Other duties
